About the Role
Panthalassa is building core technology designed to operate in the harshest, most unpredictable environments on Earth—the world's oceans. That kind of work demands intense focus, fast iteration, and a team operating at a high level every day.
The Hospitality Associate plays a vital role in enabling that focus through high-touch, reliable service. You'll oversee the workplace hospitality programs that keep our teams fueled, supported, and ready to perform at their best. This includes maintaining shared spaces at a consistently high standard, and managing daily kitchen and food service operations.
This is a hands-on role for someone who takes pride in serving others through excellence, consistency, and proactive follow-through — and who doesn't just execute routines but improves them. You notice what's off, you fix it, and you come back with a better way to prevent it next time. Your work helps create a workplace that feels cared for, organized, and ready for anything.
Workplace Hospitality + Daily Operations
- Perform regular visual sweeps and hospitality resets across shared spaces (kitchen, break room, gym, conference rooms, and common areas)
- Maintain readiness of all conference rooms and collaboration areas: clean, stocked, and continuously usable
- Maintain workplace presentation at a high standard, especially in high-use and visitor-facing areas
- Serve as a trusted onsite resource for day-to-day workplace needs, responding quickly and following through with discretion and good judgment
- Anticipate needs before they become blockers — supplies, cleanliness, functionality, readiness
- Identify recurring issues and propose improvements to routines, layouts, and workflows
- Support meeting setup and resets as needed, including quick turnarounds between sessions
- Provide ad hoc hospitality support as needs arise across the organization
Vendor Coordination
- Coordinate service calls and maintenance for kitchen equipment and hospitality-related needs
- Maintain vendor relationships for food, beverage, and service providers; monitor quality and reliability
- Support expense tracking and reconciliation for hospitality-related purchases as needed
Visitor & Hospitality Experience
- Help create a welcoming, professional experience for employees, guests, and vendors.
- Assist with light administrative tasks such as mail distribution, shipping support, or vendor coordination when needed
Food & Beverage Operations
- Keep the employee kitchen, dining areas, and coffee and beverage stations clean, stocked, and running smoothly throughout the day
- Maintain inventory of snacks, beverages, coffee, and food service supplies; prevent service disruption with proactive ordering
- Coordinate weekly company lunches and company-provided meals, including vendor scheduling, setup, breakdown, and cleanup
- Ensure food handling safety and cleanliness standards are consistently met
- Partner with the Office Manager to evolve the program as the company scales

Qualities We're Looking For
Experience
- 2+ years of experience in workplace operations, hospitality, events, facilities support, retail, or other high-touch service environments
- Comfortable operating independently in an onsite role with minimal day-to-day oversight
- Strong organizational habits and familiarity with checklists, inventory tracking, and digital workplace tools (email/chat, ticketing or task systems such as Atlassian)
- Familiarity with food safety best practices; Food Handler card a plus or willingness to obtain
- Ability to lift and carry supplies, move furniture, and be on your feet for extended periods

Work Environment
This role is onsite and active. You’ll be regularly moving through spaces, lifting supplies, setting up rooms, and supporting real-time needs across the facility.

If hired for this full-time role, you will receive:
- Cash compensation of $28-$35/hour

Location
This is an on-site position. Our offices, lab, and shop are located in Portland, Oregon.
