Role Summary: We’re looking for a highly organized, proactive Executive Assistant to support our CEO and keep our San Francisco HQ humming. This is an on-site role. You’ll spend roughly 75% of your time as the CEO’s admin support — managing priorities, schedules, and communications — and 25% ensuring our 25-person office runs seamlessly day-to-day.

This is a high-visibility position at the heart of our company, perfect for someone who thrives in a fast-moving startup, stays cool under pressure, and brings equal parts discretion, initiative, and follow-through. You’ll be the connector who keeps information flowing, the problem-solver who removes roadblocks, and the welcoming presence who makes our office a great place to work.


Key Responsibilities:

Executive Support (75%)

  • Manage the CEO’s complex calendar, scheduling internal/external meetings, and ensuring priorities are met.

  • Handle confidential information with discretion.

  • Prepare meeting agendas, take notes, and track action items for follow-up.

  • Draft, proofread, and edit correspondence and presentations.

  • Manage expense reporting and reimbursements for the CEO.

  • Act as a gatekeeper for communications, prioritizing requests and ensuring timely responses.

  • Support board meeting logistics, including materials preparation and distribution.

Office Management (25%)

  • Oversee day-to-day office operations for our SF headquarters (supplies, mail, deliveries, maintenance).

  • Welcome and assist visitors.

  • Manage vendor relationships (IT, cleaning, catering, etc.).

  • Coordinate weekly team lunches, in-office events, and occasional offsites.

  • Support onboarding logistics for new hires (workspace setup, welcome kits, systems access).

  • Maintain a clean, organized, and welcoming office environment.

  • Track and manage small office budget for supplies and events.

Qualifications:

  • 6+ years of experience as an Executive Assistant, supporting C-level executives in a startup or high-growth environment.

  • Strong organizational and time-management skills, with exceptional attention to detail.

  • Proactive problem-solver who anticipates needs and stays three steps ahead.

  • Excellent written and verbal communication skills.

  • Experience handling confidential and sensitive information with integrity.

  • Tech-savvy, with proficiency in Google Workspace, Zoom, Slack, Coda and common office productivity tools.

  • Comfortable wearing multiple hats in a small, collaborative team.

Bonus points for:

  • Previous experience managing an office or facilities for a small team.

  • Event planning or vendor management experience.

Compensation:

The annual base salary range for full-time employees in this position is $130,000 to $160,000 + meaningful Equity Grant.

Compensation decisions are dependent on several factors including, but not limited to, an individual’s qualifications, location where the role is to be performed, internal equity, and alignment with market data.
